Your area of work:
You will be working in the highly motivated, international Xetra/Eurex Project Management Office unit. We are looking for a colleague to provide organizational support to our project managers. This role will not involve managing projects but will focus on assisting project managers who are responsible for initiatives related to the leading trading platforms T7, P7, F7, B7, Cash Datawarehouse, and eListing.

 

Your Responsibilities:

  • Meeting Coordination & Facilitation: Plan, schedule, and coordinate project meetings, ensuring all logistics are in place. Prepare agendas, distribute relevant materials, and lead discussions to drive alignment and decision-making. Capture and document key outcomes, action items, and follow-ups. Present project updates and outcomes to stakeholders in a clear and compelling manner.
  • Risk Management Support: Contribute to the identification, assessment, and tracking of project and program risks. Assist in preparing risk reports and support the implementation of mitigation strategies.
  • Project Quality & Reporting: Assist in tracking project quality metrics and ensure compliance with established standards and best practices. Provide regular updates on project health, highlighting risks, issues, and opportunities for improvement.
  • People Management: Serve as the point of contact for team members, providing guidance, support, and conflict resolution. Foster a collaborative and inclusive team environment, ensuring effective communication and coordination among team members.

 

Your Profile:

  • At least 1 year experience on similar position (meetings Coordination & Facilitation).
  • Fluency in English (spoken and written).  
  • Understanding of project management methodologies, tools, and techniques is essential for a PMO role.
  • Advanced knowledge of Microsoft Office programs, such as Word, Outlook, SharePoint, Teams, PowerPoint.
  • Proficiency in Microsoft Excel such as pivot tables, complex formulas, lookups, and graph creation.[KZ1] 
  • Experience in working with VBA and knowledge of the VBA language to develop and maintain macros is an advantage.
  • Accuracy, ability to fulfil up-to-date knowledge requirements and take responsibility.
  • Critical thinking including ability to identify problems and propose effective solutions.
  • Strong teamwork abilities, excellent communication skills, high motivation, and adaptability.
  • Open-minded, willing to learn, active, highly organized personality with attention to detail.
  • Ability to work on more tasks simultaneously and to meet deadlines.
